Terms of Service

1. Acceptance of Terms

Welcome to SquadHub. By accessing or using our platform, mobile applications, or services (collectively, the "Services"), you agree to be bound by these Terms of Service ("Terms").

Important: These Terms constitute a legally binding agreement between you and SquadHub ("SquadHub," "we," "our," or "us"). If you do not agree to these Terms, you may not use our Services.

We may update these Terms from time to time. Continued use of the Services after changes constitutes acceptance of the updated Terms. We will notify you of material changes via email or in-app notification.

2. Definitions

  • "Academy": A sports academy or organisation that subscribes to the SquadHub platform.
  • "Academy Admin": The authorised representative of an Academy who manages the account.
  • "Parent": A parent or legal guardian of a player enrolled in an Academy.
  • "Player": A child or individual enrolled in an Academy's programmes.
  • "Subscription": A paid plan (Starter, Professional, or Elite) that provides access to the Services.
  • "Personal Data": Any information relating to an identified or identifiable individual, as defined by UAE PDPL and GDPR.

3. Eligibility & Account Registration

3.1 Age Requirements

You must be at least 18 years old to create an Academy account. Parents and guardians create accounts on behalf of Players under the age of 18.

3.2 Account Registration

To use our Services, Academy Admins must:

  • Provide accurate, complete, and current information
  • Maintain the security of account credentials
  • Notify us immediately of any unauthorised access
  • Accept responsibility for all activities under their account

3.3 Geographic Restrictions

Our Services are primarily designed for use in the United Arab Emirates and the broader Middle East region. Use outside these regions may be subject to additional terms or restrictions.

4. Subscription & Payment Terms

4.1 Subscription Plans

We offer three subscription tiers:

  • Starter: AED 1,499/month (up to 50 players, 5 coaches)
  • Professional: AED 2,499/month (up to 200 players, 20 coaches)
  • Elite: AED 3,999/month (unlimited players, unlimited coaches)

All plans include a 14-day free trial for new customers. No credit card required during trial.

4.2 Free Trial (Required by Apple/Google)

New customers receive a 14-day free trial. During the trial:

  • Full access to selected plan features
  • No charges applied during trial period
  • Cancel anytime before trial ends to avoid charges
  • Automatic conversion to paid subscription after trial unless cancelled

4.3 Payment & Auto-Renewal (Required by Apple/Google)

Important: Subscriptions automatically renew at the end of each billing cycle (monthly or annual) unless cancelled.

  • You will be charged at the start of each billing cycle
  • Payment is processed via Stripe (credit/debit card)
  • You can cancel auto-renewal at any time via your account settings
  • Price changes will be communicated 30 days in advance

4.4 Cancellation Process (Required by App Stores)

You can cancel your subscription at any time:

  1. Log in to your Academy account
  2. Navigate to Settings → Billing
  3. Click "Cancel Subscription"
  4. Confirm cancellation

Upon cancellation:

  • You retain access until the end of the current billing period
  • No further charges will be applied
  • Your data is retained for 30 days (see Data Retention policy)

4.5 Refund Policy (Required by App Stores)

We offer the following refund policy:

  • 14-day trial period: Full refund if cancelled during trial (no charges applied)
  • Paid subscriptions: 30-day money-back guarantee from first payment
  • Refund requests: Email hello@squadhub.me within 30 days of payment
  • Processing time: Refunds processed within 5-10 business days

Refunds are issued to the original payment method. Partial month refunds are not available after the 30-day guarantee period.

4.6 Failed Payments

If payment fails:

  1. Attempt 1: Automatic retry after 3 days, email notification sent
  2. Attempt 2: Automatic retry after 7 days, warning email sent
  3. Attempt 3: Final retry after 14 days, urgent notice sent
  4. After 3 failures: Account suspended, data retained for 30 days

Update your payment method in Settings → Billing to restore access.

5. User Responsibilities

As a user of SquadHub, you agree to:

  • Provide accurate information: All information provided must be truthful and up-to-date
  • Protect account credentials: Keep passwords secure, do not share accounts
  • Comply with laws: Use Services in compliance with all applicable laws (UAE, GDPR, etc.)
  • Respect intellectual property: Do not copy, modify, or redistribute our platform
  • Prohibited activities: Do not engage in hacking, spamming, or malicious activities

5.1 Academy Admin Responsibilities

Academy Admins are responsible for:

  • Obtaining parental consent before adding Players to the platform
  • Ensuring coaches and staff comply with these Terms
  • Maintaining accurate Player and Parent contact information
  • Respecting data privacy and protection requirements

6. Data Privacy & Protection

6.1 Data Processing

We process Personal Data in accordance with:

  • UAE Personal Data Protection Law (PDPL)
  • EU General Data Protection Regulation (GDPR) - for EU users
  • Our Privacy Policy (see /privacy)

6.2 User Rights (UAE PDPL + GDPR)

You have the right to:

  • Access: Request a copy of your Personal Data
  • Rectification: Correct inaccurate or incomplete data
  • Deletion: Request deletion of your data ("right to be forgotten")
  • Restriction: Limit how we process your data
  • Portability: Receive your data in a machine-readable format
  • Objection: Object to processing based on legitimate interests
  • Withdraw consent: Revoke consent for data processing (where applicable)

6.3 Children's Data

We collect and process data about Players (children under 18) only with:

  • Parental consent obtained by Academy Admins
  • Strict access controls (academy staff only)
  • Data minimisation (collect only necessary information)
  • Parents can access, update, or delete child data at any time

6.4 Data Retention

We retain data as follows:

  • Account data: Active subscription + 30 days after cancellation
  • Payment records: 7 years (UAE tax law requirement)
  • Usage logs: 12 months
  • Marketing consent: Until consent withdrawn

7. Intellectual Property

7.1 SquadHub Ownership

All content, features, and functionality of the Services are owned by SquadHub and protected by:

  • Copyright laws
  • Trademark laws
  • Trade secret laws
  • Other intellectual property rights

7.2 User-Generated Content

Academies retain ownership of:

  • Player data and information
  • Academy logos and branding
  • Photos and videos uploaded to the platform

By uploading content, you grant SquadHub a licence to:

  • Store and display content within the platform
  • Process content for Service functionality (e.g., image compression)
  • Use content in anonymised, aggregated analytics

8. Termination & Suspension

8.1 Termination by User

You may terminate your account at any time via Settings → Billing → Cancel Subscription (see Section 4.4).

8.2 Termination by SquadHub

We may suspend or terminate your account if you:

  • Violate these Terms of Service
  • Engage in fraudulent or illegal activities
  • Fail to pay subscription fees (after 3 failed payment attempts)
  • Misuse the platform or harm other users

8.3 Effect of Termination

Upon termination:

  • Access to the Services is immediately revoked
  • Data is retained for 30 days (see Data Retention policy)
  • You can request data export within 30 days
  • After 30 days, all data is permanently deleted

9. Disclaimers & Limitations of Liability

9.1 Service "As Is"

The Services are provided "as is" and "as available" without warranties of any kind, either express or implied.

9.2 Limitation of Liability

To the maximum extent permitted by law, SquadHub shall not be liable for:

  • Indirect, incidental, or consequential damages
  • Loss of profits, data, or business opportunities
  • Interruptions or errors in the Services
  • Actions of third-party service providers (e.g., Stripe, AWS)

Our total liability for any claim shall not exceed the amount paid by you in the 12 months preceding the claim.

9.3 Force Majeure

We are not liable for delays or failures caused by events beyond our reasonable control, including natural disasters, wars, cyberattacks, or government actions.

10. Governing Law & Dispute Resolution

10.1 Governing Law

These Terms are governed by the laws of the United Arab Emirates and the Dubai International Financial Centre (DIFC).

10.2 Dispute Resolution

In the event of a dispute:

  1. Negotiation: Parties shall attempt to resolve disputes through good-faith negotiation
  2. Mediation: If negotiation fails, disputes shall be referred to mediation in Dubai
  3. Arbitration: If mediation fails, disputes shall be resolved through binding arbitration in Dubai under DIFC-LCIA rules

10.3 Language

These Terms are provided in English. Any translations are for convenience only. In the event of conflict, the English version prevails.
